Finding and prioritising use cases

How to find the tasks in your own job where AI or automation really saves time, and how to rate them.

Learning goals

  • You keep an activity log for a week.
  • You rate tasks by volume, regularity, risk and data sensitivity.
  • You choose three use cases with a measurable goal.
3.1

Realistic expectations

The largest study of chatbots at work looked at around 25,000 workers in 7,000 Danish workplaces. Across the whole working day they saved 2.8 % of their working time on average. On narrow, structured tasks the effects are much larger: in customer service, teams with an AI assistant resolved 14 % more issues per hour, and new agents 34 % more.

The strategy follows. Do not look for the AI solution for your whole job. Look for the three or four tasks that recur often, follow a pattern and where a mistake can be corrected.

3.2

The activity log

For one week, note every task that takes longer than 15 minutes. Five columns are enough: task, duration, frequency, tools, annoyance from 1 to 5. After a week you have a realistic picture instead of a gut-feeling list.

Watch especially for four patterns:

  • Searching and compiling: Pulling information together from several sources.
  • Transferring: Copying data from one system into another.
  • First drafts: Texts you keep rewriting from the same building blocks.
  • Sorting and routing: Distributing requests, emails or documents by category.
3.3

The scoring matrix

Rate every task over 30 minutes a week on five criteria, each from 1 to 3:

Criterion 1 3
Volume rare daily
Regularity different every time fixed pattern
Impact of errors severe, irreversible small, easy to fix
Data sensitivity strictly confidential public or internal
Measurability hard to measure time and output clearly countable

The tasks with the highest total are your first candidates. Check them with the frontier test from Module 1: are they inside AI's capabilities?

Turn the log into three concrete projects.

Do the task in your day-to-day work

You do this task in your day-to-day work, not here in the course. Tick off the steps once you have done them.

What comes out of it: Three prioritised use cases with a baseline and a goal.

  • Weekly sales reportMinutes per week: 90 · Volume (3 = daily): 3 · Regularity (3 = fixed pattern): 3 · Impact of errors (3 = small): 2 · Data (3 = public or internal): 3 · Measurability (3 = clearly countable): 3 · Baseline, e.g. 90 min per report: 90 min per report · Goal with a number, e.g. 45 min per report: 30 min per report

Quiz

1. According to the Danish study, how much working time did chatbots save on average across the whole day?

2. Which task is the best first candidate for automation?

3. Which pattern points to a good use case?

4. Why do you set a goal with a number for each use case?
