Why we recommend it

We recommend Zapier for teams without in-house developers who want to automate routine workflows between forms, CRM, email and spreadsheets quickly. Since October 2026, AI agents run directly as a step inside a Zap, with approval per action. The main limitation: all data is stored in the US and there is no EU data residency.

What it does

Zaps link triggers and actions from more than 9,000 apps, with filters, branching (Paths) and webhooks.
AI by Zapier: an AI step with a prompt, tools and structured output works as an agent inside a Zap; you can require human approval for individual actions.
Zapier MCP exposes your Zapier actions as tools to AI assistants such as Claude or ChatGPT.
Tables, Forms and Chatbots add simple data tables, forms and knowledge chatbots to your Zaps.
Zap History logs every run with its data and task usage; Guardrails check AI steps for personal data and prompt injection.

Prices in US dollars plus tax, per account rather than per user and tiered by tasks; annual billing saves 33 %, and usage above your allowance is charged pay-as-you-go unless you switch that off.

Data protection and law

Hosted on AWS in the US; Zapier does not offer EU data residency.H
Zapier provides its own Data Processing Addendum with Standard Contractual Clauses and is certified under the EU-US Data Privacy Framework; it does not sign customers' own DPAs.H
No training on workflow contents; workflow structure is used for improvement, Enterprise opted out automatically, other plans via opt-out. Subprocessors may not use customer data for their own training.H
SOC 2 Type II and SOC 3, audited annually; Zapier does not list ISO 27001 certification.H
Zap History keeps content for at least 29 and up to 69 days; Enterprise can set 7 to 30 days.H

Limits

No EU data residency: for HR data, health data or strict customer requirements, Zapier is often the wrong choice.
The interface and help centre are available in English only.
Costs grow with volume: every action step, AI step and MCP call uses tasks, and premium model tiers use several.
